Privacy Policy

Last updated: 29 October 2026

Knight Surveys Ltd (“we”, “us”) is a firm of chartered building surveyors and valuers. This policy explains what personal information we collect, why we collect it, how long we keep it and what your rights are.

Who we are

Knight Surveys Ltd is registered in England and Wales, company number 15698779. Our registered office is at Network House, Lister Hill, Horsforth, Leeds LS18 5AZ. We are the controller of the personal information described in this policy.

We are registered with the Information Commissioner’s Office (ICO), registration number ZC263271.

If you have a question about this policy or your information, contact us:

What information we collect

When you send an enquiry through our website, by email or by phone:

  • your name, phone number and email address
  • the service you are interested in
  • the property address and postcode
  • anything else you choose to tell us about the property or your circumstances

When you instruct us, we also hold:

  • the details needed to carry out and report on the work, such as the property, access arrangements and the reason for the instruction
  • our inspection notes, photographs and reports
  • invoices and payment records (we never see or store your full card details; see Payments below)
  • for expert witness work, the information contained in the case papers that you, your solicitor or the court provide

Photographs and drone images. Inspection and drone photographs are taken to record the condition of the property. They are not intended to capture people or neighbouring properties. Where this happens incidentally, the images are used only for the report.

When you visit our website, our website platform (Wix) collects technical information, such as your IP address, browser and device type and the pages you visit. See Cookies below.

We do not ask for special category information, such as health information, unless it is relevant to the instruction, for example for access arrangements. Where we do hold it, we only use it for that purpose.

How we use your information, and our lawful basis

  • Reply to your enquiry, discuss the property and send a fee quote: steps taken at your request before entering into a contract.
  • Carry out the survey, valuation or other instruction and write the report: performance of a contract.
  • Invoice and keep accounting records: legal obligation.
  • Keep professional records required by RICS and deal with any complaint or claim: legal obligation and our legitimate interests.
  • Act as an expert witness and comply with court rules and directions: legal obligation and our legitimate interests.
  • Keep the website secure and working properly: our legitimate interests.

We do not sell your information. We do not send marketing emails unless you have asked us to.

Who we share your information with

We share information only where it is needed:

  • Our service providers, who process data on our behalf under contract: website hosting and forms (Wix.com), website analytics (Google Analytics), email and office software, our card payment provider, and our accountants.
  • Klarna, if you choose to pay in instalments with Klarna. Klarna makes its own credit decisions and is responsible for the information it collects, under its own privacy notice.
  • The parties to your instruction, where this is part of the work. For example, where you ask us to, your solicitor, lender or agent; or, in expert witness work, the court and the parties’ legal representatives.
  • Our professional indemnity insurers and legal advisers, if needed to deal with a claim.
  • The Royal Institution of Chartered Surveyors (RICS), if required for regulatory monitoring or a complaint.
  • Anyone we are required to share it with by law.

Payments

You can pay by bank transfer, by card or, where offered, in instalments with Klarna.

  • Bank transfer: we keep the payment details shown on our bank statement as part of our accounting records.
  • Card: card payments are handled by our payment provider. We do not see or store your full card number.
  • Klarna: if you choose Klarna, you deal with Klarna directly. Klarna may run its own checks, and its privacy notice explains how it uses your information. We receive confirmation of payment, not your credit information.

International transfers

Wix and Google store data on servers outside the UK, including in the United States. Where information is transferred outside the UK, it is protected by the safeguards the law requires, such as the UK International Data Transfer Addendum or the UK–US data bridge.

How long we keep your information

  • Enquiries that do not lead to an instruction: 2 years from our last contact, then deleted.
  • Instructions, reports and inspection records: 15 years from completion of the work. Claims about professional advice can be brought many years later, and RICS and our insurers expect records to be kept.
  • Accounting records: 6 years from the end of the financial year they relate to, as required by HMRC.

Your rights

You have the right to:

  • ask for a copy of the personal information we hold about you;
  • ask us to correct information that is wrong or incomplete;
  • ask us to delete your information, where we no longer need it or have no legal reason to keep it;
  • ask us to restrict how we use it, or object to our use of it where we rely on legitimate interests;
  • ask us to transfer information you gave us to another organisation, where this applies.

To use any of these rights, contact us using the details above. We will respond within one month. There is normally no charge.

Cookies
